Management Referral Document

What is an Employee Assistance Programme
An Employee Assistance Programme actively promotes Physical and Emotional Wellbeing . Whilst an EAP is designed to offer support to employees and their Direct family members, it is also a valuable Business Tool, which if used effectively can:

  • Reduce Absence
  • Enhance Productivity
  • Demonstrate a Duty of Care
  • Prevent Litigation
Important Note


There will be instances when it is clear to you as a Line Manager that an Individual employee would benefit from the support offered by the team within Health Assured. However, sometimes making the first call to seek help and support can be daunting.

The Management Referral facility is designed to support the individual and Line Manager.
Provided that the Individual is happy to receive a call from a member of the Health Assured Counselling Team, then you as the Line Manager can complete a simple Referral Form (as attached) and Health Assured will empathically manage the situation moving forward and contact the individual.

Please note that it is not always necessary to complete the Referral Form and you can simply call the helpline and pass on the details. HOWEVER it is always ESSENTIAL that the Employee has consented to receiving the call

Health Assured EAP - Summary
Pre-employment Medical Screening
Experienced Occupational Health qualified clinical staff provide an effective online pre-commencement screen for every new recruit joining the organisation (who is eligible to join the EAP), thus minimising the risk for employers at the time of appointment and ensuring compliance with the terms of the Equality Act 2010). The online pre-commencement screen also provides a valuable baseline audit of the employees health on joining the company.

Every report is reviewed by a member of the clinical team, and a follow up telephone consultation is undertaken if clinically indicated, at no additional charge.

Medical Information Helpline
The Health Assured team of qualified and experienced nurses are available 24 hours a day, 365 days of the year to provide general medical information and support to members of the Health Assured EAP. As part of the service, our teams will offer support and advice along with Health Information sheets and online resources.

Commercial Legal advice:
As an additional benefit of the Health Assured EAP you as a Line Manager will have access to a specialist commercial legal advice line, which is available 24 hours a day.

Face To Face Counselling
Up to 8 sessions of face to face counselling per employee, for each issue.

The Health Assured EAP provides up to 8 face to face counselling sessions per person per annum, if required Counselling is provided based on clinical need, following a referral from the telephone based counselling team. The average utilisation of counselling sessions, once accessed across the UK is 4.8 sessions. Therefore, 8 sessions are essential in order to avoid a shortfall and further concern at a time of emotional vulnerability. The comprehensive counselling and support service is staffed by experienced and qualified professionals. Health Assureds counsellors are BACP Accredited with full national coverage, utilizing a carefully selected network of suitably accredited counsellors.

The On-Line Health Assured Stress Audit tool allows employees to enter their personal history and then produces clear reports and advice. The advice may be to telephone the counselling helpline in which case the Counsellors would be contacted and warned about a potential call.

Serious Illness, Disability & Accident Support
Health Assured will provide named specialist nurse advisors to support employees or their partner if diagnosed with a critical illness. We will offer support, Medical Information and Counselling. In addition and where appropriate we will also provide home visits, and offer complimentary therapy (post Cancer) and speech therapy (Post Stroke)

The Unique Active Care Service from Health Assured provides effective intervention on the very first day of a stress related absence which ensures a far higher degree of pro-activity and engagement with the employee. An experienced occupational health clinician, with a Psychology Degree and Counselling Supervisor qualification will contact the employee via telephone (or secure web conferencing facility) and undertake a structured management referral. A detailed report will be provided to the employer within 24 hours, following the consultation. If a consent form is received by 4pm, the consultation will be undertaken on the same day.

The clinicians will engage with the individual in a supportive and impartial manner, and obtain an understanding of their specific needs and any treatment or advice that has been prescribed to them. The Health Assured clinicians are qualified to explore and attempt to identify (and agree) a suitable Phased Return To Work Plan, which will be documented within the report

  • In the case of Work related stress, we will obtain an understanding of the issues and identify any barriers preventing a return to work. We will fully engage with HR and where appropriate (and authorised to do so by the client) will suggest mediation.

  • The absence will be effectively case managed and the employee supported throughout the process.

In our experience, the early, pro-active intervention associated with Active Care positively influences an earlier return to work and supports the individual - whilst safeguarding the interests of the employer.

Face To Face Counselling
Up to 8 sessions of face to face counselling per employee, for each issue.

The Health Assured EAP provides up to 8 face to face counselling sessions per person per annum, if required Counselling is provided based on clinical need, following a referral from the telephone based counselling team. The average utilisation of counselling sessions, once accessed across the UK is 4.8 sessions. Therefore, 8 sessions are essential in order to avoid a shortfall and further concern at a time of emotional vulnerability. The comprehensive counselling and support service is staffed by experienced and qualified professionals. Health Assureds counsellors are BACP Accredited with full national coverage, utilizing a carefully selected network of suitably accredited counsellors.
